Privacy Policy

The Short Version

OpenSheet 1e SRD is a character-sheet app that works offline. Your characters, your campaigns and your notes are stored on your own device and are not uploaded to us.

We do not sell your data. We do not show ads. We do not build an advertising profile, and the advertising-ID permission is removed from this app at build time.

Two things leave your device, and only if you choose them: a character sheet you share at a Live Table, and a prompt you send for art or text generation using your own OpenAI key. Both are described below.

Who We Are

This app is published by Arcane Systems Inc. For any privacy question, correction or deletion request, write to arcanesystemsinc@gmail.com and we will answer.

What Stays on Your Device

Characters, rosters, campaigns, encounters, homebrew content, your notes, your settings and any art you generate or import are held in app-private storage on your device. Other apps cannot read them, and we cannot read them.

Uninstalling the app removes this storage. If you want to keep your characters, export or back them up first.

Diagnostics and Usage Data

The app uses Google Firebase Crashlytics and Google Analytics for Firebase. If the app crashes, Crashlytics sends a report containing the crash stack trace, the app version, and device information such as model, operating-system version and available memory. Analytics records which screens are opened and which features are used, so we can tell a feature nobody can find from a feature nobody wants.

These reports do not contain your character names, your notes, your campaign text or the contents of any sheet. They are associated with a randomly generated installation identifier, not with your name or your email address.

Google processes this data as our service provider. Google's own handling of it is described in Google's privacy policy.

The Live Table

The Live Table is optional and is off until you create or join a table.

When you use it, the following is sent to our table server at opensheet-live.arcanesystemsinc.workers.dev so that the other players at your table can see it: the display name you choose, a randomly generated player identifier, the table's name and join code, and the character sheet, hit points and avatar you choose to share, together with map and combat state for that table.

The display name is whatever you type. It does not have to be your real name, and we do not ask for one.

This data exists to run your table. It is not sold, and it is not used to advertise to you. Table data is deleted when the table is deleted or after it has been inactive; leaving a table removes your sheet from it.

There is no account and no password. We never receive an email address for the Live Table.

Art and Text Generation

The app can generate portraits and descriptive text through OpenAI. This is optional and requires you to enter your own OpenAI API key.

Your key is stored in encrypted app-private storage on your device. It is sent only to OpenAI, to authenticate your own requests. We never receive it and it is never sent to our servers.

When you generate something, the prompt — which may include details of the character you are generating for — is sent directly from your device to OpenAI. OpenAI's handling of that request is governed by your agreement with OpenAI, not by this policy. If you do not enter a key, nothing is ever sent to OpenAI.

Game Data Downloads

The app can download additional rulebook data files from a public GitHub release. This is an ordinary file download. Nothing about you or your characters is sent with it beyond what any web request necessarily carries, such as your IP address, which GitHub receives as the host.

Backups You Control

The backup feature writes a single archive file to a folder you pick, using Android's system file picker — for example a folder in your own Google Drive or Dropbox.

That archive goes from your device to the service you chose. It does not pass through us and we never hold a copy. If you also use Android's own automatic backup, that is handled by Google under your device's backup settings.

Purchases

Purchases are processed by Google Play Billing. Google handles the payment and tells the app only whether an entitlement is owned. We never see your card number, your billing address or any other payment detail.

Children

This app is not directed to children under 13 and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information through the Live Table, write to arcanesystemsinc@gmail.com and we will delete it.

Your Choices and Your Rights

You can use the entire app offline and never send us anything: leave the Live Table unused and enter no OpenAI key.

You can delete your local data at any time by deleting characters in the app or by uninstalling it. You can leave or delete a Live Table to remove the sheets shared with it.

Depending on where you live, you may have the right to ask what personal data we hold about you, to have it corrected, or to have it deleted. Write to arcanesystemsinc@gmail.com and we will act on it. Because we hold no account for you, please tell us the display name and join code of the table concerned so we can find the right records.

Security

Data in transit to the Live Table, to GitHub and to OpenAI is sent over HTTPS. Your OpenAI key is held in encrypted storage on your device. App data is app-private and is not readable by other apps on a device that has not been rooted.

No system is perfectly secure, and we do not claim otherwise. We hold as little as we can, which is the part of security that actually works.

Changes to This Policy

If this policy changes in substance, the effective date above changes with it and the updated policy ships in the next release of the app. The version you are reading in the app is always the version that applies to the build you are running.
